Human Resources Assistant

Position: Human Resources Assistant

Report to: Human Resources Manager

Purpose: Provide general support for a variety of activities including company culture, employee relations, hiring, performance evaluations, record and information tracking, recruiting, training, and unemployment.

Responsibilities:

  • Provides full-cycle recruiting processes including advertising, employee referrals, internet searches/e-recruiting, job fairs, professional associations, and sourcing in support of AAOBGYN.
  • Works closely with the Human Resources Manager regarding candidate assessment tools, recruiting best practices, and best practices in interviewing.
  • Provide support in the development and maintenance of position descriptions and their evaluation.
  • Monitors and reports on recruiting metrics.
  • Facilitates background checks and drug screens on new hire candidates.
  • Assists in annual company in-service planning, new hire orientation, and onboarding.
  • Educates and assists users with the company’s time management and payroll system.
  • Enrolls, terminates, and reconciles employee benefits including facilitating annual open enrollment with appropriate vendors.
  • Reconciles and submits invoices monthly to accounting.
  • Prepare HR & Benefit reports as assigned.
  • Ensures accurate maintenance and compliance with various record keeping systems, including benefits systems.
  • Creates, modifies, and implements HR related forms and training with the guidance of the Human Resources Manager.
  • Maximizes technology systems related to HR.
  • Monitors and tracks information regarding performance reviews.
  • Provides support for unemployment claims.
  • Performs other duties as assigned.

Skills, Education, & Experience:

  • High School diploma or GED is required; some college preferred.
  • Requires 1-3 years of human resources experience.
  • Excellent communications skills (written and verbal).
  • Strong organizational and time management skills.
  • Ability to handle and prioritize multiple tasks
  • Extremely organized and ability to work independently with little supervision.
  • Strong computer software skills; prefer experience with HRIS and/or databases and Microsoft office.
  • Must have experience with recruitment.

Medical Assistant

Position: Medical Assistant                                                      

Report To: Team Lead 

Purpose: Responsible for assisting clinical staff with patient care and a variety of pre, intra and post encounter activities. Meet and exceed patient expectations and adhere to established practices while assuring the best possible care for patients.

Responsibilities:

  • Accompany patients to exam/procedure rooms and assist with walking, transfers, dressing, collecting specimens, preparing for exam.
  • Collect patient medical history and perform screenings per provider instructions.
  • Assist clinical staff with procedures.
  • Ensures treatment areas are safe, organized, clean, have well-functioning equipment, and supplies are adequate. Prepare treatment room for next exam.
  • Provides information / instructions to patients and their families.
  • Answer calls and assist in Physician/Patient scheduling.
  • Send / receive patient medical records and information.
  • Obtain lab/x-ray reports, hospital notes, and referral information.
  • Complete forms and requisitions as needed as well as manage patient charts to ensure information is complete.
  • Respond appropriately to emergency codes.
  • Perform quality control.
  • Promote quality patient care and customer satisfaction.
  • Weekend fertility clinic
  • Perform other duties as assigned.

 

Skills, Education, & Experience:

  • High School diploma or GED is required, prefer some college.
  • Prefer knowledge in healthcare or medical specialty, associated medical tasks, and information that is communicated to patients and families.
  • Maintain a CPR certification, prefer CMA certificate.
  • Excellent communications skills.
  • Bilingual is a plus.

Responsible for the overall management of daily operations including, but not limited to, managing clinical staff and schedules as well as supervising and developing employees.

Purpose:  Responsible for the overall management of daily operations including, but not limited to, managing clinical staff and schedules as well as supervising and developing employees. 

Responsibilities:

  • Performs all duties in accordance to established policies, procedures, and guidelines.
  • Provides timely and progressive counseling aimed at correcting employee performance problems.
  • Provides timely and tailored training, feedback, and constructive criticism to improve and expand upon employees’ technique and knowledge; participates in the performance appraisal process of employees by maintaining notes on individual employees throughout the year and constructing fair, effective, unbiased, and factual performance comments at 45 day, 90 day, and Annual evaluations.
  • Oversees the day-to-day operations of the department.
  • Develops and implements policies and directives.
  • Monitors supply ordering and expenses.
  • Makes purchasing decisions based on need and budgetary constraints.
  • Attends monthly practice Lead meetings.
  • Ensures thorough/effective dissemination of information to staff (via meetings, memos, emails, etc.) to maintain open lines of communication and keep staff up to date on business or practice changes.
  • Serves as a subject matter expert to the department.
  • Leads and motivates staff while continuously improving leadership skills.
  • Assists in interviewing and hiring of new employees in conjunction with Physician and HR.
  • Monitors call schedule.
  • Responsible for appropriately staffing clinical employees ensuring adjustment of schedules in accordance to needs. Filling in as needed.
  • Handles scheduling conflicts with clinic hours, surgical procedures, and meetings.
  • Tracks and corrects time for employees (monitoring time clock usage).  Applies PTO for all employees based on their requests.
  • Assists in the development and implementation of nursing programs related to industry trends.
  • Develops and monitors operational manual ensuring protocols are up to date in conjunction with Physician.
  • Serves as a liaison between the business office and the physician.
  • Assists Clinical Manager and Physician as needed.
  • Cultivates an environment of teamwork.
  • Promote quality patient care and customer satisfaction.
  • Perform other duties as assigned.

Skills, Education, & Experience:

  • Minimum 3 years of experience, OB/GYN experience is preferred.
  • Knowledge of professional clinical, regulations and practices to give and evaluate patient care.
  • Knowledge of common safety hazards and precautions to establish and maintain a safe work environment.
  • Possesses a high degree of personal integrity and professionalism.
  • Excellent communications skills.
  • Must have basic computer knowledge.
  • Must be able to work a flexible schedule.

Physical/Mental Abilities:                           

  • Ability to maintain quality control standards.
  • Ability to handle high patient volume.
  • Ability to react calmly and effectively in emergency situations.
